Ironwood Cancer & Research Centers has beautiful state-of-the-art integrated Cancer and Women's Centers, with locations strategically located throughout the Valley. Position Overview:   We are looking for a motivated, professional, and friendly individual to work as an Office Supervisor for the West Valley.  The Office Supervisor is responsible for the coordination of all activities, overall performance and efficiency within an Ironwood Office. Coordinates and oversee the functions and work flow of the following departments: Medical Records, Front Check-in, Front Check-out, Telephone Operator, Medical Assistants, and New Patient Scheduling.  Performs other duties and responsibilities as required. 

Essential Duties and Responsibilities:

  • Reports to the Director of Operations regarding any issues related to work flows, patients, or employees. Provides a formal written report on a weekly basis.
  • Provides technical support to all departments on operational processes and issues, as needed.
  • Conducts regular meetings with all departments.
  • Participates in Management Team meetings, EMR meetings, and other work groups as assigned.
  • Performs HR functions such as interviewing and training.
  • Counsels employees in conjunction with the Director of Operations.
  • Maintains department work schedules and vacation requests and ensures proper staffing levels are maintained.
  • Monitors status of Physician dictations. Alerts Physicians to delays.
  • Monitors functions of MAs ensuring quality performance.
  • Monitors and reports issues and problems associated with the answering service performance.
  • Orders supplies as requested.
  • Creates and implements patient and employee satisfaction surveys reporting results to Director of Operations, Practice Administrator, and Physicians.
  • Maintains physician vacation calendar, lunch calendar, and employee vacation calendar.
  • Monitors and reports on new patients scheduled, assuring guidelines are met.
  • Develops, coordinate and trains staff on Emergency Plan and Safety Policy and Customer Service.
  • Trains all staff on their duties, computer programs and cross training in other areas. Ensures HIPAA and OSHA guidelines are followed.
  • Conducts quality assurance audits on all departments, reports findings to Director of Operations and Practice Administrator.
  • Accounts for quality assurance of required daily functions.
  • Ensures the collection of copays and coinsurance from front office staff. Ensures daily batches are reconciled and accurate.
  • Assists the Business Office to correct problem performance issues.
  • Assesses the need for additional staff.
  • Performs any other duties as assigned by the Director of Operations, Practice Administrator, or Physicians.

Knowledge and Experience:

  • Familiar with general medical terminology and basic insurance benefits.
  • Knowledge of business office functions with analytical supervisory experience in a medical office or ambulatory surgery setting.
  • Excellent verbal and writing communication skills.
  • Proficiency in Microsoft Office, Word, Internet.
  • Excellent analytical, verbal and written communication skills.
  • Operational Experience with Electronic Medical Records.
  • Knowledge of chemotherapy related drugs and supplies utilized preferred.
  • Knowledge of diagnostic testing and radiation procedures preferred.


  • 3 years of office management/supervisory experience in an outpatient medical facility or ambulatory healthcare setting required.
  • 1-2 years of Medical Oncology & Radiation Oncology experience preferred.
  • Associate’s Degree in Business Management, Health Care Administration or related field. Bachelor’s Degree preferred.
